We are looking for a proactive and hands-on HR professional to join our team as a Senior Executive, HR Operations. This role plays a key part in driving operational excellence across daily HR functions, employee lifecycle processes, and administrative coordination to ensure smooth HR operations.
Key Responsibilities:
HR Operations & Administration
- Monitor employee attendance and prepare daily/monthly attendance reports for payroll processing.
- Maintain accurate employee records and ensure timely HR data updates.
- Administer HR systems (e.g., Inet, TAMS Module, Medical Module) including duty roster, clocking appeals, and related updates.
- Coordinate with medical and insurance providers on employee movement and coverage matters.
- Support HRDF-related activities including grant applications and claims submission.
- Maintain and update training records, attendance, and reports.
- Manage and monitor the administration of uniforms and stationery, including issuance, tracking, and replenishment.
On/Offboarding & Employee Lifecycle
- Liaise with cross-functional teams to support new hires and employee movements (new joiners, transfers, resignations).
- Coordinate onboarding activities, including documentation and ensuring a smooth first-day experience.
- Assist in exit interview arrangements and offboarding processes.
- Support confirmation, probation review, and employee evaluation processes.
Employee Relations & Industrial Relations (IR)
- Assist in handling employee relations matters including grievances, disciplinary cases, and investigations.
- Ensure compliance with company policies and Malaysian labor laws.
- Support domestic inquiries and IR-related documentation
Performance Management
- Coordinate and support the end-to-end performance management cycle (goal setting, mid-year and annual reviews).
- Follow up with line managers and employees to ensure timely completion of appraisals.
- Provide guidance to employees and managers on performance management processes and tools.
- Assist in identifying performance gaps and support improvement or development plans.
Communication & Coordination
- Support communication of HR initiatives, policies, and updates via memo/email
- Liaise with HRBPs and relevant stakeholders to ensure smooth execution of HR activities
- Provide administrative and coordination support for HR programs and initiatives
Employee Engagement & Support
- Assist in organizing employee engagement activities and HR programs.
- Support initiatives to enhance employee experience and workplace culture.
Requirements
- Bachelor's Degree in Human Resources, Business Administration, or related field.
- 3–5 years of relevant HR experience.
- Strong knowledge of Malaysian labour laws and HR practices.
- Hands-on experience in HR operations, payroll support, and employee lifecycle management.
- Good communication, coordination, and problem-solving skills.
- Able to work independently in a fast-paced environment.
