About the Role
The Senior Executive, Quality Operations will be the central executor of our end-to-end quality control process — coordinating inspection scheduling, managing 3rd party agencies, reviewing reports, handling regulatory compliance, and ensuring every failed issue is followed up to resolution. This role also conducts factory visits where quality issues require on-the-ground resolution, for high-risk POs, and to spot-check that 3P agencies are executing to Montigo's standards. This role works closely with the Head of QC and Procurement to keep quality operations running smoothly across all POs, and will evolve into a broader QC management role as the team grows.
Key Responsibilities:
1. QC Planning & Scheduling
• Coordinate and manage the end-to-end QC process across all active POs — from planning through inspection to report close-out
• Schedule QC visits based on product type and factory production completion timelines — not per individual PO
• Align QC scheduling with the product launch calendar to ensure inspections do not delay seasonal or new product go-live dates
• Arrange inspection manpower — internal and 3rd party — ensuring visits are well-timed and cost-effective
• Coordinate Pre-Production Sample (PPS) and golden sample sign-off with factories before mass production begins, ensuring samples are tracked and approved by the relevant team
• Maintain an up-to-date QC planning tracker and communicate schedules to Procurement and relevant stakeholders
2. Inspection Execution & Report Management
• Review all inspection reports submitted by 3rd party agencies — including photos, videos, and defect documentation
• Assess PO risk levels (High / Medium / Low) in alignment with the Head of QC and determine the appropriate inspection type accordingly
• Consolidate report findings and communicate QC results and recommended next steps to Procurement
• Maintain a structured central QC log — recording all inspection reports, outcomes, follow-up actions, and closure status for full audit trail
• Monitor defect trends across POs and suppliers — flag recurring patterns to Head of QC for review and corrective action
3. Factory Visits & On-Site Quality Management
• Conduct factory visits when quality issues arise that cannot be resolved remotely — assess the situation on-site, align with the factory on corrective actions, and ensure resolution before production resumes or shipment is cleared
• Visit factories for high-risk POs (new product, IP product, new factory, new material, or large volume) to provide on-the-ground oversight and ensure quality standards are upheld throughout production
• Perform unannounced or scheduled spot checks on 3rd party inspection agencies during live inspections to verify they are executing Montigo's QC standards correctly, consistently, and without shortcuts
• Document all factory visit findings — including photos, observations, and agreed actions — and share a structured report with the Head of QC and Procurement upon return
• Track the outcome of factory visits against agreed timelines and confirm issues are fully closed before sign-off
4. Issue Follow-Up & Supplier Coordination
• Own all failed QC issue follow-ups — communicate with suppliers via email (not WeChat), looping in Procurement and Head of QC on all correspondence
• Track and follow up on Corrective and Preventive Action (CAPA) requests issued to suppliers, ensuring timely resolution with documented closure
• Coordinate re-inspection arrangements where required, managing timelines to minimise shipment delays
• Escalate high-risk or unresolved issues to the Head of QC promptly with full context, documentation, and a recommended course of action
5. 3rd Party Agency Management
• Coordinate day-to-day with 3rd party QC partners (QGS, Intertek, SGS) — booking inspections, managing schedules, and following up on report delivery
• Conduct regular spot checks — both on-site and through report review — to verify 3P agencies are consistently following Montigo's inspection standards and not cutting corners
• Assess 3P agency performance periodically — evaluating inspection consistency, report quality, turnaround times, and adherence to briefed criteria — and provide structured feedback to Head of QC
• Ensure all 3P agencies are fully briefed on Montigo's QC standards, inspection requirements, and key measurement criteria before each inspection
• Track 3P inspection costs against budget and flag variances or anomalies to Head of QC for review
6. Regulatory & Compliance Coordination
• Manage end-to-end coordination of FDA / BPA testing — from test planning and sample submission to report collection, filing, and renewal tracking
• Maintain a compliance tracker across key markets (US, EU, AU, JP, SEA) — monitoring applicable regulations, test schedules, certificate expiry dates, and renewal timelines
• Coordinate with the Product Team to flag market-specific compliance requirements during new product development, ensuring compliance is built in from the start
• Manage packaging and labelling QC checks to ensure accuracy and regulatory compliance across all destination markets
• Prepare and maintain documentation for internal audits or retail and brand partner quality assessments
7. Supplier QC Onboarding
• Coordinate QC qualification checks for new factories before the first PO is placed — ensuring suppliers meet Montigo's minimum quality standards
• Maintain and update supplier quality scorecards to track performance across all active manufacturing partners over time
• Support factory capability assessments for new supplier relationships, coordinating with 3P agencies or internal teams as needed
8. Documentation & Systems
• Own and maintain a central QC documentation system — ensuring all reports, compliance certificates, CAPA records, sample approvals, factory visit reports, and supplier scorecards are organised, accessible, and up to date
• Build and maintain a shared QC drive or tracker that gives Procurement and Head of QC real-time visibility into QC status across all active POs
• Flag gaps in the documentation process and propose improvements to ensure the QC function is audit-ready at all times
What We're Looking For
• 2–5 years of experience in QC operations, quality assurance, or supply chain coordination — preferably in consumer goods, lifestyle products, or hardgoods
• Hands-on experience coordinating with 3rd party QC agencies and reviewing inspection reports
• Experience conducting factory visits and managing quality issues on-site is strongly preferred
• Familiarity with AQL sampling standards and defect classification frameworks
• Exposure to product compliance testing (FDA, BPA, REACH, or equivalent) is an advantage
• Experience working with China-based or SEA-based manufacturing is strongly preferred
• Organised and detail-oriented — able to manage multiple POs, timelines, and agencies simultaneously without things falling through the gaps
• Clear and professional communicator — able to write structured, follow-up emails with suppliers and coordinate effectively across teams
• Proactive and accountable — takes full ownership of follow-ups and doesn't wait to be chased
• Confident on-site — able to represent Montigo's quality standards in a factory setting and have direct, constructive conversations with suppliers and agency inspectors
• Process-minded — comfortable working within defined SOPs and proactively flagging when processes need to be improved
• Commercially aware — understands the cost, timeline, and brand impact of QC decisions
• Mandarin proficiency (written and/or spoken) is a significant advantage given China-based supplier relationships
• Proficient in Microsoft Office / Google Workspace; experience with QC tracking tools or ERP systems is a plus
• Willing and able to travel for factory visits and spot checks as required by the production calendar
