Job Description

Location: Singapore
Employment: Full-time
Start Date: Immediate / November 2026
Salary: SGD 3,600-4,500 per month, depending on experience
Requirement: Must already be eligible to work in Singapore

About the Role

A Life by Design is looking for a capable, hands-on Senior Finance Executive to join our Singapore team as we continue to grow.

This role suits someone who has developed strong finance fundamentals within a project-based business and is ready to bring that experience into a growing, entrepreneurial company.

Our work spans design, architecture, procurement, FF&E, manufacturing and project delivery, with multiple projects operating at different stages. We therefore need someone who understands both the day-to-day discipline of finance and the importance of maintaining an accurate financial picture across individual projects.

You will be responsible for core finance operations while working closely with management and project teams to strengthen project financial reporting, controls and visibility.

We are looking for someone who can bring skills and experience to the table, introduce better ways of working where appropriate, and grow with the business - while remaining comfortable getting into the detail and doing the work.

Key Responsibilities

1. Project Accounting & Financial Management

  • Manage project accounting for multiple concurrent projects, ensuring accurate financial records throughout each project's lifecycle.

  • Prepare and maintain project Profit & Loss (P&L) reports and monitor project financial performance.

  • Track contracted revenue, revenue invoiced, revenue collected, project costs incurred and committed or upcoming project costs.

  • Monitor project budgets, cost allocations, gross profit and expected project margins.

  • Identify cost overruns, discrepancies and potential margin erosion, and highlight issues to management promptly.

  • Monitor project cash flow and maintain visibility over supplier commitments, upcoming payments and outstanding collections.

  • Ensure supplier, consultant, subcontractor and other costs are accurately allocated to the relevant projects.

  • Work closely with project teams to obtain, verify and reconcile project financial information.

  • Prepare timely project financial reports to support management decisions.

2. Billing, Accounts Receivable & Collections

  • Prepare and issue client invoices, including deposits, progressive or milestone billing and approved variations.

  • Monitor billing schedules and ensure invoices are raised in accordance with contractual terms and project milestones.

  • Track outstanding receivables and actively follow up with clients to ensure timely collections.

  • Reconcile client accounts and investigate billing discrepancies.

  • Monitor revenue invoiced against contracted revenue and project progress.

3. Accounts Payable & Supplier Payments

  • Manage supplier invoices, payment schedules and payment preparation.

  • Verify supplier, consultant and subcontractor invoices and ensure correct project and cost allocation.

  • Monitor committed supplier costs and upcoming payment obligations.

  • Reconcile supplier statements and resolve discrepancies.

  • Process staff expenses and petty cash transactions with appropriate supporting documentation and cost allocation.

4. Payroll, GST & IR8A Compliance

  • Manage Singapore payroll processing accurately and in accordance with applicable statutory requirements.

  • Prepare and submit GST returns and ensure relevant supporting records are properly maintained.

  • Prepare IR8A forms and handle annual employee income reporting requirements.

  • Maintain accurate payroll, GST and statutory reporting records.

  • Ensure deadlines are met and discrepancies are investigated and resolved promptly.

5. General Accounting & Financial Reporting

  • Maintain accurate accounting records and perform regular reconciliations using Xero.

  • Support monthly management reporting and intercompany reconciliations.

  • Assist with month-end closing and ensure financial records are complete and up to date.

  • Maintain proper documentation and support the company's accounting and financial control processes.

6. Process Improvement & Internal Controls

  • Identify opportunities to improve project accounting, financial reporting and internal controls.

  • Recommend practical solutions to strengthen project cost tracking, billing procedures and financial visibility.

  • Help improve finance processes and reporting as the business continues to grow.

  • Take ownership of assigned responsibilities and work independently with minimal supervision.
