We are now seeking an Immigration Consultant in our Penang Branch Office.

Key services of the GMS Division include working with HR professionals in our corporate client portfolio and their transferring executives to deliver a suite of immigration services.

Whilst the role will encompass assisting the Immigration Manager in the management, coordination and handling of Immigration Services, key responsibilities will include but are not limited to the following:

  • To support day-to-day functions of Immigration Department for Crown Worldwide Group.
  • Responsible for managing operational request for Domestic and International Assignees on customer service, immigration, visa, translation, legalization processes.
  • Participation in weekly team meeting and act as back up in distributing weekly team meeting minutes.
  • Managing case movement and work flow at Immigration and other relevant Authorities upon submission.
  • Responsible in delivering slip of acknowledgement from officers to all immigration team members in a timely manner.
  • Managing expectation from clients and individual on any critical requests.
  • Ensure interact files are raised for every service delivered in a timely and accurate manner upon receiving initiation from clients. Files must be updated with all mandatory key data fields throughout.Ensure client invoices raised on all completed services in line with the Company financial reporting calendar. Provide support to the Immigration Manager on the collection of ageing Invoices.Respond to all alerts from Team-members on any issue that may lead to customer dissatisfaction and discuss and present solutions to the Immigration Manager in a timely manner.
  • Respond to any service quality alerts from Team-members on any third part vendor issues and discuss and present solutions to the Immigration Manager in a timely manner.
  • To provide administrative support in relation to client expatriate advisory services and other related functions such as automated and manual filing systems and the endorsement of documents with Immigration.
  • Job includes (but is not limited to): handling immigration services; preparing immigration documents to the immigration and other related Authorities such as ESD, MDEC, MOFA, MOE, MIDA and related government departments (especially on special/urgent cases); correspondence with clients and general administrative duties.
  • To inform and advise clients on obligations for Registration, Projections & Positions in online portal and to ensure clients meet their obligations. Asses each application for projection quota availability.
  • To ensure data integrity of assignees expiries and related Immigration issue are up-to-date in Crown system, including the cases handled by the Junior Immigration Consultant.
  • To support logistic movement in Penang
  • To take proactive steps to remain up to date on the latest trends in the immigration field and to ensure you act upon procedural changes dictated by the relevant authorities, updating procedures and checklists as required.
  • Providing prompt assistance & information to Mobility Consultants, Vendors, Crown Worldwide Group and clients on Immigration, visas and customer services related issues.
  • Providing coordination and assistance to assignees on various work/business visa application at Embassies, High Commission & High Consulates and to guide on basic checklist pertaining to work / business visa requirements.

  • Dependability – Manage commitments, work independently where appropriate without the need for constant supervision, be accountable, handle change, stay focused under pressure & meet attendance/punctuality standards.
  • Teamwork – Work effectively in team environment, be flexible and open-minded, actively share information with other Crown staff members, foster a team orientated environment and be sensitive to others workloads. To treat colleagues with respect.
  • Initiative – Tackle problems and take independent action where appropriate, seek out new responsibilities, generate new ideas and practice self-development.
  • Personal Organization – Keep information and files organized and accessible, respond quickly to information requests from corporate clients, Crown staff and other Crown offices.
  • Perform other duties as directed by Crown. This may include assisting with other duties within the Branch in the event that staff are on leave, on holiday or otherwise indisposed.
  • Attend sales conferences/training seminars and networking functions on behalf of the branch as arranged by Crown, which could include international travel.

Requirements:

  • Minimum 3 years relevant immigration working experience
  • Strong exceptional customer services skills with the ability to multitask.
  • Accurately maintain all files and provide administrative support.
  • An excellent command of written and spoken English.
  • Proficient computer skills with experience using Microsoft Office including Word, Excel, PowerPoint, Outlook, Publisher or equivalent.
  • Support consultants during their absence.
  • Willing to go to Immigration office if required to attend to specific case/client.
  • Willing to travel to Head Office in Shah Alam when required
