Key Responsibilities:
1. Leadership & People Management
- Lead and manage the full spectrum of administrative functions, including supervising the administrative team by providing guidance, mentorship, and leadership to drive high performance.
- Set clear goals and objectives for the Administration Department to ensure alignment with organisational priorities.
- Foster a positive and productive work culture that promotes collaboration, accountability, and continuous improvement.
2. Administrative Operations & Office Management
- Oversee day-to-day administrative operations to ensure smooth and efficient office functioning.
- Manage relationships related to office operations, including facilities management, office services, agents, suppliers, and vendors.
- Oversee travel arrangements, company events, and organisation-wide initiatives to ensure timely and successful execution.
3. Process Improvement & Continuous Enhancement
- Analyse existing administrative processes and continuously identify opportunities for improvement.
- Contribute to and implement new approaches and best practices to enhance operational efficiency and service delivery.
- Stay informed of industry trends, emerging technologies, and best practices in administrative management.
4. Policy, Compliance & Governance
- Review, implement, and maintain administrative policies, procedures, and systems in accordance with company direction and regulatory requirements.
- Ensure administrative practices comply with company standards and applicable regulations.
- Monitor and enforce adherence to established administrative frameworks.
5. Budgeting & Planning
- Develop, implement, and manage departmental budgets to ensure cost-effective administrative operations.
- Monitor expenditures and ensure optimal use of resources.
6. Employee Engagement & Internal Services
- Manage and coordinate annual employee engagement activities to foster an engaged and motivated workforce.
- Drive the development of internal service concepts aimed at improving employee satisfaction and workplace experience.
7. Foreign Employee Administration
- Oversee foreign employee recruitment processes related to administrative scope.
- Manage passport, visa, and work permit applications and renewals for foreign employees.
8. Reporting & Management Support
- Provide regular reports and updates on administrative performance, initiatives, and key metrics to senior management.
- Support management decision-making through timely and accurate administrative insights.
Requirements:
- Candidate must possess at least a Bachelor's Degree or Master's Degree, Business Studies/Administration/Management or equivalent.
- At least 7 year(s) of working experience in the related field.
- Strong sense of responsibility and dedication, good organizational and coordination skills and communication skills, strong analytical and problem-solving skills.
- Highly organized and capable of managing multiple tasks and projects simultaneously.
- Attention to detail, time management, and the ability to prioritize effectively.
- Strong leadership abilities, excellent communication skills (both written and verbal), and the ability to collaborate effectively with different teams and stakeholders are essential.
- Experience in lead employee engagement initiatives across a department or organization (offsite planning, conference planning, company-wide events).
- A deep understanding of administrative processes and best practices.
- Possesses a strong background in Excel and is proficient in data analysis and reporting.
