Senior Specialist, Secretarial are responsible to Assist the Senior Secretarial Manager and the team in managing and actively handling multi-regional secretarial matters across Southeast Asia, Hong Kong, China, India, Europe, the Middle East & Africa, and the Americas, ensuring compliance with statutory and regulatory requirements, while providing guidance and support to the team.
What you'll be doing:
- Manage and actively participate in all company secretarial functions across the Group's multi-regional portfolio, including Southeast Asia, Hong Kong, China, India, Europe, the Middle East & Africa, and the Americas, ensuring both oversight and hands-on execution.
- Liaise with regulators, auditors, external advisors and internal stakeholders across regions on statutory and corporate governance matters.
- Support and coordinate cross-border corporate exercises, including incorporations, restructuring and due diligence activities.
- Ensure compliance with statutory and regulatory requirements across all jurisdictions, including timely filings, annual returns and proper maintenance of statutory records.
- Oversee and manage the notarization, apostillation and legalization of corporate documents.
- Manage Board meetings, including preparation of agendas, papers and minutes.
- Coordinate shareholders meetings and prepare resolutions and governance documentation.
- Provide guidance and review team deliverables to ensure accuracy, consistency, and operational efficiency, while demonstrating independence, accountability, and ownership in delivering high-quality work within established timelines.
- Perform any other duties as assigned by the superior.
What You'll Need:
- CGI (ICSA) qualification or CGQP (ICSA) finalist.3 to 5 years company secretarial experience (in-house and/or corporate services); global exposure is an added advantage.
- Strong knowledge of company secretarial and regulatory practices.
- Ability to work effectively in a fast-paced, diverse, and collaborative environment.
- Open to new ideas and embrace challenges; proactive, resourceful, resilient, and detailed-oriented.
- Strong interpersonal with the ability to work both independently and as part of a team.
- Tech-savvy with proficiency in Microsoft Office Tools (Word, Excel, Powerpoint) and PDF tools.
