Job Description

The Role

The Senior Supply Chain Executive is responsible for independently managing and coordinating end-to-end supply chain activities, including parts planning, procurement, logistics coordination, inventory management, overseas warehouse support, RMA processing, and project deployment support. The role serves as a key operational member of the Supply Chain team, handling day-to-day supply chain activities with minimal supervision while supporting more complex procurement, logistics, and project requirements. The Senior Supply Chain Executive is also expected to provide operational guidance to junior team members, identify and escalate supply chain risks, and support the Supply Chain Manager in maintaining operational efficiency, cost control, and process compliance across multiple countries.

Key Accountabilities

  • Parts Planning & Procurement 1. Independently manage parts planning and procurement based on project and operational requirements. 2. Review requirements and prioritize procurement according to deployment timelines and business needs. 3. Negotiate supplier pricing, lead time, and commercial terms to support cost optimization. 4. Liaise with technical teams to validate sparing requirements and deployment readiness. 5. Manage supplier onboarding, evaluation, PO issuance, lead-time follow-up, and overdue delivery escalation. 6. Identify procurement risks and recommend alternative sourcing or mitigation plans. B. Logistics Coordination – Local & Global 1. Independently coordinate local and international inbound and outbound shipments with forwarders, vendors, and overseas partners. 2. Review shipping requirements and ensure appropriate documentation, including DO, POD, packing list, commercial invoice, and export documents. 3. Monitor shipments through final delivery and manage delays, exceptions, and customs-related issues. 4. Advise stakeholders on suitable logistics routes, timelines, and cost-efficient shipment arrangements. 5. Coordinate freight bookings, customs/import-export requirements, and deployment schedules with relevant partners. 6. Handle complex or urgent logistics cases and support multi-country project deployments. C. Inventory, Warehouse & Overseas Storage 1. Coordinate with local and overseas warehouses on receiving, verification, storage, and outbound requirements. 2. Monitor inventory accuracy in WMS/ERP systems and investigate discrepancies. 3. Coordinate cycle counts, stocktakes, and inventory reconciliation activities. 4. Manage overseas warehouse parts readiness, usage updates, replenishment, and audit support. 5. Monitor stock availability and identify potential shortages or excess inventory. D. RMA / Warranty 1. Own and manage the end-to-end RMA and warranty process. 2. Coordinate warranty claims with vendors, technical teams, and relevant stakeholders. 3. Monitor outstanding cases and ensure timely follow-up and closure. 4. Provide RMA and DOA reporting and highlight aged, recurring, or high-risk cases. E. Project & Stakeholder Support 1. Act as the Supply Chain operational point of contact for assigned projects. 2. Collaborate with service delivery, technical, sales, and project teams to ensure deployment readiness. 3. Identify procurement, logistics, inventory, and timeline risks before execution. 4. Provide accurate procurement and logistics timelines to support project planning. 5. Support T&M quotations by validating operational feasibility and Supply Chain costs. 6. Attend project meetings and provide Supply Chain updates, risks, dependencies, and recommended actions. F. Reporting & Compliance 1. Prepare monthly reports on MA parts readiness, RMA/DOA, inventory, and logistics movements. 2. Ensure Supply Chain records and supporting documents meet internal and audit requirements. 3. Monitor outstanding operational items and highlight exceptions or risks requiring management attention. 4. Support inventory and Supply Chain-related internal, finance, and external audits. G. Operational Excellence & Team Support 1. Independently manage daily operations and assigned projects with minimal supervision. 2. Identify process gaps and recurring issues and recommend improvements or corrective actions. 3. Support the development and implementation of Supply Chain SOPs and operational controls. 4. Promote compliance with established Supply Chain processes and documentation requirements. 5. Provide operational guidance and knowledge sharing to junior team members. 6. Support workload prioritization and act as a key backup to the Supply Chain Manager for day-to-day operational matters. 7. Escalate significant operational, cost, compliance, or project risks to the Supply Chain Manager. 8. Perform other ad-hoc duties assigned by management.

Skills & Experiences

  • Strong knowledge of procurement, logistics, inventory, and warehouse operations.
  • Good understanding of international shipping and import/export processes.
  • Strong supplier, stakeholder, and project coordination capabilities.
  • Proficiency in Microsoft Office and ERP/WMS systems.
  • Strong analytical, coordination, and problem-solving skills.
  • Ability to identify operational risks and recommend practical solutions.
  • Ability to independently manage multiple priorities and meet tight deadlines.
  • Strong communication and stakeholder management capabilities.
  • Ability to guide junior team members and share operational knowledge.
  • Service-oriented mindset with good business and commercial awareness.
