Job Description

OVERVIEW:

The incumbent role is responsible for executing and coordinating inbound shipping operations to ensure timely customs clearance, container delivery, and accurate system tracking for latex and porcelain former shipments. The role works closely with Purchasing, Planning, Forwarding Agents, and internal stakeholders to manage shipment documentation, delivery schedules, and operational exceptions. This position also ensures compliance with free-time limits, cost control on logistics charges, and proper handling of intercompany and local delivery arrangements. The role operates under the guidance of the Assistant Manager/Manager while supervising junior staff to support daily shipping operations.

DUTIES AND RESPONSIBILITIES

  • Manage inbound shipment forecasting by reviewing and updating forecast files and coordinating with Purchasing and Planner on PO ETA versus supplier shipment schedules.
  • Ensure completeness and timeliness of shipping documentation by verifying all required documents are received and finalized at least one day prior to vessel arrival.
  • Assign and coordinate appointed Forwarding Agents for each incoming latex shipment in accordance with approved allocation and shipment requirements.
  • Prepare and issue container and delivery documentation including container lists, Notices of Arrival, tax invoices, and LOI/LOA for customs clearance and planning purposes.
  • Coordinate customs clearance and eDO release by liaising with Forwarding Agents to ensure all regulatory and documentation requirements are fulfilled prior to delivery arrangement.
  • Monitor vessel arrival and shipment status and promptly escalate potential delays or deviations to the Planner for delivery replanning.
  • Plan and monitor container delivery operations for latex and porcelain formers from port to factory and factory to depot, ensuring compliance within allocated free time by shipping liners or agents.
  • Track and control inbound container movement and system records by monitoring all containers in D365, Container Monitoring System (CMS), and daily pump-out activities against detention and free-time limits.
  • Handle shipment exceptions and cost control matters by managing special cases (e.g. leakage, damage), coordinating with relevant departments, and verifying demurrage, detention, storage, or related charges with Forwarding Agents or DND.
  • Execute intercompany, local delivery, and return documentation processes including interco shipment documents, local latex tanker deliveries, credit notes, GRN preparation, and other tasks assigned by superior.

REQUIREMENTS

Education:

  • Bachelor's Degree in Shipping, Logistics, Supply Chain Management, or any related field.

Work Experience:

  • Fresh graduate or 1 year of experience in logistics, shipping, or supply chain operations.
  • Exposure to import shipping, customs clearance, or container delivery operations is an advantage.

Technical and Professional Knowledge:

  • Knowledge of import shipping operations, vessel arrival processes, port procedures, and customs clearance requirements.
  • Ability to prepare, verify, and manage shipping documentation, including Notice of Arrival (NOA), tax invoices, LOI/LOA, intercompany documents, credit notes, and GRN.
  • Practical understanding of container movement from port to factory and depot, delivery scheduling, and coordination with planners, forwarding agents, and haulage providers.
  • Working knowledge of free-time management, detention, demurrage, and storage charge control related to inbound shipments.
  • Proficiency in ERP and logistics monitoring systems (e.g. D365, Container Monitoring System) for tracking inbound containers, shipment status, and pump-out activities with high data accuracy.
  • Ability to identify and manage shipment exceptions (e.g. delays, leakage, damage) and coordinate resolution with internal departments and external parties.
