Role Description

The Admin & HR Executive supports the day-to-day administrative and human resources functions of the company. This role ensures that staff documentation, compliance, and internal processes are properly managed and kept up to date as the business grows.

This is a hands-on, detail-oriented role suited for someone who is organised, accountable and comfortable managing recurring documentation, deadlines, and coordination across teams.

Key Responsibilities:

Administrative Support

  • Manage business paperwork, licenses, permits, and statutory documentation in Malaysia
  • Maintain organised digital and physical records (contracts, approvals, correspondence)
  • Track renewal dates, compliance deadlines, and required filings
  • Coordinate with vendors, service providers, and external partners on documentation and payments
  • Support administrative tasks related to outlet setup and ongoing operations

HR, Hiring & People Administration

  • Support recruitment coordination, including job postings, interview scheduling, and offer documentation
  • Prepare and manage employment contracts, onboarding, and offboarding documentation
  • Maintain accurate employee records in compliance with local labour requirements
  • Coordinate payroll administration with external accountants or service providers
  • Track staff attendance, leave, and basic HR reporting
  • Act as a point of coordination for routine HR and staff-related queries

Staff Welfare & Support

  • Support basic staff welfare matters, including documentation for leave, benefits, and insurance (if applicable)
  • Assist in coordinating staff communications, announcements, and internal updates
  • Flag recurring staff issues or welfare concerns to management for follow-up
  • Support a positive and respectful working environment through consistent HR processes

Operations Coordination

  • Support operations and management teams with administrative and HR follow-ups
  • Assist during launch and expansion phases with ad-hoc coordination tasks
  • Ensure smooth communication between internal teams and external parties

Qualifications

  • 25 years of experience in administrative and/or HR support roles
  • Familiar with Malaysia labour regulations and basic HR administration
  • Comfortable handling documentation, deadlines, and recurring processes
  • Highly organised, detail-oriented, and accountable
  • Able to work independently in a lean team environment
  • Proficient in spreadsheets and basic office systems
  • Fluent in English and Bahasa Malaysia, Mandarin
