Purpose of the Position:

Are you a detail-oriented and tech-savvy individual looking to kick-start your career in IT and administration We are looking for a motivated IT & Admin Executive to join our Malaysia team on a 12-month contract.

In this role, you will be the backbone of our Malaysia office operations keeping our IT systems running smoothly while supporting the day-to-day administrative needs of the team. You will work closely with both our Singapore HQ and local Malaysia teams, ensuring seamless communication and operational efficiency across borders.

Responsibilities:

IT Support

  • Provide first-line IT support to Malaysia office staff, troubleshooting hardware, software, and connectivity issues
  • Set up, configure, and maintain office equipment including laptops, printers, monitors, and peripherals
  • Liaise with the Singapore IT team to escalate and resolve technical issues in a timely manner
  • Assist with onboarding and offboarding processes, including provisioning and decommissioning of devices and accounts
  • Maintain an up-to-date inventory of IT assets across the Malaysia office
  • Support the implementation and upkeep of IT policies, security protocols, and software updates
  • Manage and maintain user accounts, access permissions, and email configurations across internal platforms
  • Monitor system performance and flag irregularities or potential issues to the relevant IT team
  • Assist in setting up meeting rooms with the necessary AV and conferencing equipment for internal and external meetings
  • Help develop and maintain simple IT documentation such as user guides, FAQs, and SOPs to support staff self-service

Administration

  • Manage day-to-day office administrative tasks including scheduling, correspondence, and filing
  • Coordinate with vendors, building management, and external service providers to ensure smooth office operations
  • Support procurement processes including sourcing quotes, raising purchase orders, and tracking deliveries
  • Maintain organised records, documentation, and administrative databases
  • Coordinate with the Singapore team on cross-border operational matters and support regional reporting needs
  • Assist in organising internal meetings, events, and team activities
  • Handle incoming and outgoing correspondence, including courier and mail management
  • Support the onboarding experience for new Malaysia hires, including workspace setup, access card arrangements
  • Support HR and People Operations with scheduling interviews, managing leave records, and coordinating team engagement activities
  • Serve as the first point of contact for office visitors, ensuring a professional and welcoming front-of-house experience

Qualifications:

  • Diploma or Degree in Information Technology, Business Administration, or a related field
  • At least 1 to 2 working experience in office administration and/or IT support is an advantage
  • Basic understanding of IT systems, hardware troubleshooting, and Microsoft 365
  • Strong organisational skills with keen attention to detail
  • A proactive problem-solver who can manage multiple tasks and prioritise effectively
  • Ability to work independently and collaboratively within a cross-border team environment
  • Good interpersonal and communication skills comfortable liaising with both technical and non-technical stakeholders
  • Willingness to learn and adapt in a fast-paced, evolving environment
  • Strong English communication skills (written and verbal)
  • Malaysian citizen or holder of a valid work authorisation in Malaysia
