Position Objective

Responsible for agency movement processing, reporting, system updates, business succession planning and policy assignment, and ensuring all administrative tasks are completed accurately and within the stipulated timeline.

Roles and Responsibilities

• Ensure all the agency movement transactions are processed as per regulatory and AIA requirements.
• Prepare timely and accurate agency movement reports [Maintenance of Contract (MOC), promotion, demotion, extension, probation etc.] for relevant stakeholders.
• Perform data analysis on the agency movement data and provide meaning insights for management's reference.
• Ensure all the policy assignments are completed accurately and within the stipulated timeline.
• Prepare detailed user requirement for system enhancement or process improvement and perform verification on UAT results and post deployment verification.
• Perform monthly reconciliation of agency movement records between LIAM/MTA/PIAM and AIA records.
• Maintain effective data management practice to ensure accurate records and proper documentation are kept up to date and retrievable.
• Continue reviewing existing Standard Operating Procedures (SOPs) or establish new SOPs for new processes to enhance operational efficiency and ensure consistency in execution.
• Review and complete the Third-party Management (TPM) exercise within the stipulated timeline
• Periodic quality assurance check, prepare data as requested by internal and external audit and compliance team.
• Liaise effectively with relevant parties to resolve all enquiries from agency and stakeholders within timeline.
• Perform other duties and assignments as required to enhance operational performance and efficiency.
• Ensure timely and accurate processing of agency movement updates in the AIA system and association system.
• Accuracy and timeliness of agency movement reports.
• Maintain 100% compliance with SOPs and regulatory guidelines.
• Continuous performance of system updates (eg corresponding address, change of payment related info such as Bank account & TIN number, death certificates).
• Process policy assignment which contains details such as the customer contact number & address.
• Have access to the Callidus system which contains the agent profile.
• Managing agent movement status in industry association (eg LIAM/MTA/PIAM which include the termination of the agent, placement of misconduct, reinstatement of the agent).

Minimum Requirement

• Education: Bachelor's Degree of any field from recognized University

• Experience: Fresh Graduates are encouraged to apply. Preference with experience in Distribution movement knowledge and handling.

• Skills:
• Proficient in Microsoft Office Software (MS Word, MS Excel, MS Power Point)
• Detailed oriented person.
• Self-motivated and able to work independently with minimal supervision.
• Problem solver with analytical mind
