Air Freight Operational Accounting Specialist, Malaysia

We are looking for a detail-oriented and proactive talent who able support export shipment documentation and billing activities. This role is responsible for ensuring accurate and timely preparation of shipping documents, shipment costing, invoicing and operational reporting while maintaining excellent service standards and compliance with company procedures.

Job Responsibilities: Documentation & Billing

• Prepare, verify, and process export shipping documents accurately and on time.
• Ensure shipment costing and customer invoicing are completed accurately and within agreed timelines.
• Maintain proper documentation records and filing systems.
• Review documentation to ensure compliance with customer, carrier and regulatory requirements.
• Support continuous improvement initiatives to enhance documentation and billing processes.
  
  

Operations Support

• Coordinate with internal operational teams and external stakeholders to ensure smooth shipment execution.
• Investigate and resolve operational exceptions promptly while communicating updates to relevant parties.
• Monitor daily shipment activities and ensure documentation is submitted within required timelines.
• Prepare operational and billing reports as required.
• Support operational continuity and team activities when required.
  
  

Quality & Process Improvement

• Ensure compliance with company policies, procedures, and quality standards.
• Identify process improvement opportunities and support automation or efficiency initiatives.
• Participate in cross-functional projects to optimize operational workflows.
• Assist in maintaining high standards of accuracy and service quality.
  
  

Team & Collaboration

• Work closely with colleagues across Operations, Customer Service, Finance, and other departments.
• Support onboarding and training of new team members and interns.
• Share knowledge and best practices to support team development.
• Actively contribute to a positive and collaborative working environment.
  
  

We are expecting the incumbent to meet these requirements:

• Diploma and/or Degree in Logistics, Transportation, and/or Business Studies with minor in logistics and supply chain
• Experience with minimum 1 year in freight forwarding, logistics, export documentation, billing or a related operations environment.
• Knowledge of export shipping documentation and invoicing processes is an advantage.
• Detail-oriented with a strong focus on accuracy and quality.
• Good analytical and problem-solving skills.
• Able to work independently and manage multiple priorities in a fast-paced environment.
• Good communication and stakeholder management skills.
• Proficiency in Microsoft Office applications (particularly in Excel); logistics system experience such as Cargowise (CW1) will be an added advantage.
