Job Summary
We are seeking a highly organized and proactive Executive, Admin to support the General Manager, Strategic Planning & Development. The ideal candidate must possess strong administrative skills, good financial / accounting knowledge, and the ability to communicate effectively in Mandarin. This role requires high confidentiality, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
1. Executive & Administrative Support
- Provide full-spectrum secretarial and administrative support to the General Manager.
- Manage calendar, schedule meetings, appointments, and business travel arrangements.
- Prepare meeting agendas, minutes, reports, and presentation materials.
- Handle correspondence, emails, and internal/external communications professionally.
- Maintain proper filing systems (digital & physical) for easy retrieval of documents.
2. Strategic & Business Support
- Assist in preparing business proposals, strategic papers, and management reports.
- Coordinate with internal departments for data collection and follow-ups.
- Support the GM in monitoring project timelines and key deliverables.
- Track progress of strategic initiatives and prepare summary reports.
3. Finance & Accounting Support
- Assist in reviewing financial reports, budgets, and cost analysis.
- Coordinate with Finance Department on budget planning and expenditure tracking.
- Prepare basic financial summaries and ensure accuracy of financial documentation.
- Monitor payments, claims, and reimbursements when required.
4. Communication & Coordination
- Liaise with internal stakeholders, external partners, and business associates.
- Act as a point of contact between GM and relevant departments.
- Translate documents or assist in Mandarin communication when necessary.
5. Confidentiality & Compliance
- Handle sensitive information with strict confidentiality.
- Ensure proper documentation and compliance with company policies.
Requirements
- Bachelor's Degree in Business Administration, Finance, Accounting, or related field.
- At least 35 years of experience as a Personal Assistant / Executive Assistant.
- Must have basic knowledge in Finance / Accounting (ability to understand financial reports & budgeting).
- Fluent in Mandarin (spoken and written) is compulsory.
- Proficient in Microsoft Office (Excel, PowerPoint, Word).
- Strong organizational, multitasking, and time management skills.
- Detail-oriented, proactive, and able to work independently.
- High level of integrity and professionalism.
Preferred Skills
- Experience supporting Senior Management / C-level.
- Exposure to strategic planning or corporate development environment.
- Strong analytical and reporting skills.
