We are seeking an exceptional Executive Assistant who will also serve in a Chief of Staff capacity, supporting the CEO in managing cross-functional teams and driving strategic initiatives. This role requires a unique blend of administrative excellence, project management expertise, and leadership capabilities.

Responsibilities:

Strategic Support & Project Management

  • Drive execution of strategic initiatives across operations, finance, products, and

marketing teams

  • Coordinate and manage cross-functional projects, ensuring alignment with company

objectives

  • Prepare and maintain project tracking systems for business optimization initiatives
  • Research competitive landscape and support talent acquisition strategies
  • Assist in developing and executing PR and marketing campaigns
  • Manage relationship building with key stakeholders, including prospective clients and partners

Team Management & Communication


  • Coordinate with a global team of 20 across multiple departments
  • Facilitate and manage team meetings, ensuring clear communication of action items
  • Track and follow up on project deliverables and team commitments
  • Monitor team morale and contribute to maintaining a positive company culture
  • Compile and distribute weekly updates from various teams
  • Support hiring initiatives, including crafting job descriptions and candidate review

Executive Support


  • Manage CEO's professional network and relationships
  • Handle high-priority correspondence and communications
  • Review and provide feedback on marketing materials and content
  • Coordinate client outreach and relationship management
  • Manage personal administrative tasks requiring discretion and judgment
  • Organize and maintain contact databases and follow-up systems

Content & Marketing Support


  • Review and provide feedback on video scripts and marketing materials
  • Support influencer marketing initiatives
  • Assist in developing PR strategies and content
  • Coordinate corporate gifting and relationship management programs

Requirements


  • 3+ years of experience in executive support or similar role
  • Exceptional organizational and project management skills
  • Outstanding written and verbal communication abilities
  • Proven track record of managing multiple priorities and meeting deadlines
  • Experience with cross-functional team coordination
  • High proficiency in Microsoft Office Suite and project management tools

Preferred Qualifications

  • Mandarin Chinese language skills
  • Bachelor's degree in Business Administration, Communications, or related field
  • Experience in manufacturing or international business
  • Knowledge of social media and digital marketing
  • Background in PR or communications
  • Experience with CRM systems and database management
