Essential Functions

Executive Support

The Executive Assistant (EA) serves as a strategic partner to the Voce President, JAPAC, enabling effective leadership of a complex, multicultural and fast-growing regional organization. This role goes beyond traditional executive support and requires strong business acumen, high discretion, proactive problem-solving, and the ability to operate confidently across diverse Asia Pacific markets. The EA acts as a force multiplieranticipating needs, driving alignment, and ensuring disciplined execution across the region.

  • Provide high level administrative support to senior leadership, including calendar management, meeting coordination, and travel arrangements.
  • Manage complex scheduling across multiple time zones, prioritizing critical business needs.
  • Prepare briefing materials, presentations, reports, and correspondence on behalf of the executive.
  • Act as a gatekeeper, screening and prioritizing communications and requests.

Meeting & Communication Management

  • Organize internal and external meetings, including agenda preparation, logistics, and follow-ups.
  • Take meeting minutes where required and track action items to ensure timely completion.
  • Draft and review emails, presentations, and communications for internal and external stakeholders.
  • Liaise with regional and global teams to coordinate schedules and initiatives.

Project & Operational Support

  • Support key projects and initiatives by tracking timelines, coordinating stakeholders, and monitoring progress.
  • Assist in the preparation of budgets, expense tracking, and reporting.
  • Maintain organized documentation and filing systems (electronic and physical).
  • Support planning and execution of leadership meetings, town halls, and offsite events.

Travel & Expense Management

  • Arrange domestic and international travel, including flights, accommodation, visas, and itineraries for senior leadership.
  • Prepare detailed travel schedules and ensure alignment with business priorities.

Confidentiality & Discretion

  • Handle sensitive and confidential information with the highest level of integrity.
  • Maintain professionalism when dealing with senior stakeholders, customers, and partners.

Office Administration & Operations Management

  • Oversee daily office operations to ensure a well-organized, efficient, and professional working environment.
  • Act as the point of contact for office related matters, ensuring timely resolution of issues.
  • Ensure compliance with company policies, safety standards, and local regulatory requirements.
  • Assist in organizing company events, team activities, and employee engagement initiatives.

Required/Preferred Education And Experience

  • Bachelor's degree in Business Administration, Communications, or related field preferred.
  • Minimum 5 years of experience supporting senior leadership or executives.
  • Experience in multinational or fast-paced corporate environments is advantageous.
  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word).
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • High level of professionalism, discretion, and attention to detail.
