The Ocean Freight Operator is responsible for managing and coordinating the logistics and documentation for ocean freight shipments. This role ensures efficient and timely transportation of goods, compliance with international shipping regulations, and excellent customer service.
Job Responsibilities:
- Shipment Coordination:
- Plan and coordinate ocean freight shipments from origin to destination.
- Book cargo space with carriers and arrange for pickup and delivery of goods.
- Monitor shipment status and provide updates to customers and internal stakeholders.
- Monitor, measure, and manage key performance indicators (KPIs) for vendor performance, ensuring adherence to defined service standards.
- Using Station Metrics Cockpit management can see trends in performance over time and compare with other stations / counties.
- Documentation and Compliance:
- Prepare and process all necessary shipping documents, including bills of lading, packing lists, and customs declarations.
- Ensure compliance with international shipping regulations and company policies.
- Handle import and export documentation and procedures.
- Customer Services:
- Serve as the primary point of contact for customers regarding ocean freight shipments.
- Address customer inquiries and resolve issues related to shipping, tracking, and documentation.
- Provide exceptional customer service to ensure customer satisfaction.
- Coordination with Internal Teams:
- Collaborate with internal departments such as sales, customs, and warehouse teams to ensure smooth operations.
- Communicate effectively with colleagues to coordinate shipment details and resolve any issues.
- Cost Management:
- Negotiate rates with carriers and other service providers to ensure cost-effective shipping solutions.
- Monitor and manage shipping costs to stay within budget.
- Data Management:
- Maintain accurate records of shipments, including tracking information and documentation.
- Utilize logistics software and systems to manage and track shipments.
- Problem Solving:
- Identify and resolve any issues or delays in the shipping process.
- Proactively address potential problems to minimize disruptions.
- Work Environment:
- Office-based with occasional visits to warehouses, ports, or customer sites.
- May require occasional travel.
- One File One Operator (1F1O), Operators manage their files end-to-end. Certain tasks should be automated or delegated (e.g., GSC, cartage, customs, gateway), but ownership always remains with the one operator.
We are expecting the incumbent to meet these requirements:
- At least Diploma or equivalent; a degree in logistics, supply chain management, or a related field is preferred.
- With 2-3 years experience in ocean freight operations or logistics is highly desirable.
- Strong knowledge of international shipping regulations and documentation.
- Excellent organizational and multitasking skills.
- Strong communication and customer service skills.
- Proficiency in logistics software and Microsoft Office Suite.
- Ability to work independently and as part of a team in a fast-paced environment.
- This position is located in Medini Iskandar, Johor.
