About the Role

We are looking for a detail-oriented, proactive, and adaptable individual to join the CEO Office as a Executive Office Assistant

This is a dynamic role for someone who thrives in fast-moving environments — part organizer, part problem-solver, and part connector. You will help keep priorities clear, meetings impactful, and strategic and implementation initiatives moving forward.

If you love structure, communication, and seeing how big-picture decisions turn into real outcomes, this role gives you front-row exposure to how a company operates from the top. You will balance administrative precision with project coordination and hands-on execution to ensure things not only get discussed but get done.

Key Responsibilities

  1. Executive & Administrative Support
  • Manage and maintain the CEO's calendar, schedule, and key priorities (internal and external engagements).
  • Support the CEO Office Manager in prioritizing and coordinating key activities, meetings, and follow-ups.
  • Prepare meeting materials, take minutes, and track action items to ensure timely closure.
  • Handle correspondence, documentation, reports, and presentations on behalf of the CEO Office.
  • Manage confidential information with professionalism and discretion.
  1. Coordination & Stakeholder Management
  • Act as the main liaison between internal teams, external partners, and the CEO Office.
  • Keep communication flowing, ensuring updates, reminders, and next steps reach the right people at the right time.
  • Support company-wide initiatives, events, and CEO Office activities that require cross-department coordination.
  1. Strategic, Project & Implementation Support
  • Assist the CEO Office Manager in driving the execution of key projects and strategic initiatives.
  • Monitor project milestones, follow up on deliverables, and ensure timely progress reporting.
  • Coordinate with internal teams to resolve bottlenecks and maintain project momentum.
  • Help prepare strategic and implementation decks, reports, and documentation for management review.
  • Support process improvement efforts, tracking implementation impact and lessons learned.
  1. General Office Management
  • Maintain accurate and organized filing systems for the CEO Office.
  • Handle logistics, travel arrangements, expense claims, and other administrative matters.
  • Provide ad-hoc support and run errands when required to ensure smooth operations.

What We Are Looking For

  • Bachelor's Degree in any field. We value curiosity and adaptability, though backgrounds in Science or Engineering are a plus for their structured and analytical approach.
  • 1–3 years of experience in executive, project, or administrative support (fresh graduates with strong organizational aptitude are welcome).
  • Excellent planning, time management, and multitasking skills.
  • Strong written and verbal communication in English and Bahasa Malaysia (additional languages are a plus).
  • High level of integrity, discretion, and professionalism in handling sensitive information.
  • Proactive, dependable, and resourceful. A team player who thrives in a dynamic, fast-moving environment and isn't afraid to learn something new.
