Ideal Candidate Profile
- Education: Bachelor's Degree in Human Resources Management, Law, or a related field.
- Experience: Minimum 3–4 years of hands-on experience specializing in Industrial Relations (IR) and Employee Relations (ER).
- Industry Background: Prior experience in Retail, F&B, FMCG, or Modern Trade is highly advantageous due to the high-volume, fast-paced nature of the store network.
- Legislative Expertise: Expert-level knowledge of Malaysian Labor Laws, specifically the Employment Act 1955 (including 2022 Amendments) and the Industrial Relations Act 1967.
- Technical IR Skills: Proven track record in managing Domestic Inquiries (DI) for at least 2 years, including end-to-end management of misconduct investigations and the drafting of legally defensible HR documentation.
- Soft Skills: A natural mediator with high emotional intelligence and the ability to de-escalate high-tension situations.
- Language: Fluency in English and Bahasa Melayu is mandatory (written and spoken) to communicate with stakeholders ranging from HQ to storefront employees.
Job Role
Industrial Relations & Compliance
- Case Management: Act as the subject matter expert for all IR cases across Malaysia, ensuring 100% compliance with local labor laws and internal SOPs.
- Disciplinary Mastery: Lead the end-to-end disciplinary process: from investigating alleged misconduct and drafting Show Cause Letters to presiding over Domestic Inquiries (DI) and issuing final warning or dismissal notices.
- Policy Advisory: Monitor and update internal HR policies to reflect the latest legal amendments (e.g., working hours, maternity/paternity leave, and sexual harassment regulations).
- Risk Mitigation: Maintain meticulous case files and documentation to safeguard the company during Labor Department (JTK) audits or Industrial Court representations.
- Management Support: Provide real-time advisory to Store Managers on handling performance issues and misconduct to prevent constructive dismissal claims.
Employee Relations & Engagement
- Conflict Resolution: Serve as the primary mediator for employee grievances, ensuring all disputes are resolved fairly and within statutory timelines.
- Culture Building: Design and execute a high-impact Employee Engagement Calendar (team-building, festive celebrations, and recognition awards) specifically tailored for our store operation team.
- Internal Communications: Manage internal channels to ensure consistent messaging regarding company policies, town halls, and morale-boosting initiatives.
- Data-Driven Insights: Analyze ER trends and turnover data to identify root causes of dissatisfaction and recommend preventive strategies to leadership.
