HR Operations Executive
Basic Salary : RM4000 - RM5000
Hybrid mode (3 days work from office, 2 days from home)
Position Overview
The HR Operations Executive is responsible for providing comprehensive HR administrative and operational support across Malaysia and the Philippines. This role ensures timely execution of HR processes, accurate documentation, smooth employee lifecycle management, and effective coordination with internal stakeholders and external vendors. The ideal candidate is detailoriented, organized, and able to manage multiple tasks in a fastpaced environment.
Key Responsibilities:
1. HR Administration & Documentation
- Assist in Purchase Order (PO) creation and ensure follow-through with approvers (Malaysia only).
- Prepare and generate various employee letters (e.g., onboarding, confirmation, transfer, resignation).
- Submit employment contracts to LHDN for stamping (Malaysia only).
- Maintain and update employee personnel files (PFiles) in compliance with internal standards and data privacy requirements.
- Handle reporting tasks and provide administrative support for ad-hoc HR requests from stakeholders.
2. Employee Lifecycle Management
- Support employee onboarding and offboarding processes, including:
- Drafting and sending letters/emails
- Coordinating document signing
- Managing exit clearance
- Calculating leave balances
- Ensure timely and accurate routing of onboarding/offboarding documentation.
3. Benefits Administration
- Support administration of employee benefits, including enrolment, changes, and record maintenance.
- Liaise with internal teams and external partners to ensure accurate processing of benefit-related matters.
4. HR Operations Support
- Respond to HR Ops-related employee inquiries in a timely, professional, and customer-focused manner.
- Ensure compliance with internal HR processes, policies, and service level expectations.
5. Payroll Administration Support
- Assist with payroll-related administrative tasks.
- Coordinate with the Payroll Legacy vendor on government contribution remittances and statutory requirements.
Qualifications & Requirements
- Diploma or Bachelor's Degree in Human Resources, Business Administration, or related field.
- 13 years of HR operations or HR administrative experience, preferably in a shared services or fast-paced environment.
- Familiarity with Malaysian and/or Philippine labour practices is an advantage.
- Proficient in MS Office applications (Excel, Word, Outlook).
- Strong attention to detail and high level of accuracy.
- Good communication and interpersonal skills.
- Ability to manage confidential information with integrity.
