Job Description

We are seeking an experienced and dedicated HR professional to manage the full spectrum of human resource functions. The ideal candidate is trustworthy, organised, and capable of maintaining confidentiality at all times. This role requires strong HR operational skills, including handling foreign worker matters and supporting a positive workplace environment.

Key Responsibilities

Recruitment & Talent Acquisition

  • Manage end-to-end hiring processes for all departments.
  • Draft job descriptions, shortlist candidates, schedule interviews, and coordinate with hiring managers.
  • Build and maintain a continuous talent pipeline.

HR Operations, Administration & Foreign Worker Management

  • Oversee onboarding, confirmation, and offboarding processes.
  • Maintain accurate and confidential employee files, HRIS data, and personnel records.
  • Handle visa, work permit renewals, foreign employee medical check-ups, and ensure timely submission and compliance.
  • Coordinate monthly payroll data with Accounts (timesheets, attendance, allowances).
  • Ensure accurate monitoring of leave, medical claims, attendance, and employee benefits.

Time Attendance & HR Software Management

  • Capable of using Microsoft Word & Excel (including formulas and timesheet calculations).
  • Able to operate HR-related software such as Time Attendance systems, HRMS/HRIS, and other related platforms.

Performance Management

  • Assist in implementing appraisal systems and KPI reviews.
  • Support supervisors and managers with performance-related discussions and documentation.

Employee Relations & Confidentiality

  • Serve as the main HR contact for staff enquiries.
  • Manage employee issues professionally and provide counselling when necessary.
  • Maintain strict confidentiality of all employee information no gossiping, no sharing of private details, no taking sides.
  • Promote a healthy, respectful, and positive work culture.

HR Policy, Compliance & Reporting

  • Ensure compliance with Malaysian labour laws, statutory requirements, and company policies.
  • Update HR policies, SOPs, and employee handbook when required.
  • Prepare HR-related reports for management.

Requirements

  • Diploma/Degree in HR, Business Administration, or related field.
  • Minimum 35 years of HR experience (Executive) or 58 years (Manager level).
  • Strong knowledge of Malaysian Employment Act & HR compliance.
  • Prior experience handling foreign worker documentation (work permits, visas) is highly preferred.
  • Proficient in MS Word, Excel, and Time Attendance software.
  • Strong communication skills in English, Mandarin, and Malay.
  • Strong communication, interpersonal, and problem-solving skills.
  • High level of integrity, confidentiality, and professionalism.
  • Able to work independently with minimal supervision.
  • Excellent organisational and multitasking ability.
