Job Description

Work location: Jalan Raja Chulan, KL

Nearest MRT: Raja Chulan (MR7), 2 minute walk

Working hours: Mon-Fri, 9am-6pm

Role Overview

We're looking for a hands-on HR Executive to manage end-to-end People Operations for 2 of our Malaysia entities. This role is critical in ensuring smooth HR operations, strong compliance, and consistent employee experience. You will also act as a key knowledge holder for local processes, policies, and practices.

Key Responsibilities

1. HR Operations & Administration

  • Manage full employee lifecycle: onboarding, confirmation, transfers, and offboarding
  • Maintain accurate employee records, contracts, and documentation
  • Administer HR systems and ensure data integrity
  • Handle day-to-day HR queries from employees

2. Recruitment & Talent Support

  • Support hiring for Malaysia roles (sourcing, coordination, interviews)
  • Work closely with hiring managers to ensure timely hiring
  • Manage offer preparation and onboarding experience

3. Employee Engagement & Office Management

  • Plan and execute employee engagement activities (quarterly or ad-hoc)
  • Support employee communications and internal initiatives
  • Oversee basic office administration and vendor coordination

4. HR Processes & Continuous Improvement

  • Support implementation of HR policies, SOPs, and frameworks
  • Ensure adherence to internal processes (e.g. approvals, documentation standards)
  • Identify gaps and propose improvements to HR operations

5. Regional HR Support

  • Collaborate with Singapore HR on regional initiatives and projects
  • Support cross-border HR coordination when needed
  • Act as local point of contact for Malaysia HR matters

6.Payroll & Compliance (Malaysia)

  • Support and coordinate monthly payroll processing
  • Ensure compliance with local labour laws and statutory requirements (EPF, SOCSO, EIS, PCB)
  • Liaise with external vendors, accountants, and authorities where required
  • Keep HR policies aligned with local regulations and company standards

Requirements

  • 3+ years of HR generalist or HR operations experience
  • Strong knowledge of Malaysia labour law and HR practices
  • Experienced in running monthly payroll (40-50 pax)
  • Detail-oriented, organized, and reliable
  • Able to handle confidential information with discretion
