About the Role

We are seeking a proactive and detailoriented HR Intern to support our HR team in data migration, administrative filing, and daytoday HR operations. This internship offers exposure to HR processes, systems, and employee lifecycle activities.

Key Responsibilities

1. HR Data Migration Support

  • Transfer HR records and employee data into new digital systems.
  • Verify data accuracy and completeness during migration exercises.
  • Assist in updating trackers, logs, and migration progress reports.
  • Identify missing or outdated documents and coordinate follow-ups.

2. HR Filing & Document Management

  • Maintain, organize, and update both physical and digital employee files.
  • Scan, rename, and archive HR documents systematically.
  • Ensure files comply with company standards and audit requirements.
  • Handle document retrieval for audits, reviews, and HR processes.

3. Recruitment & Onboarding Support

  • Assist in posting job ads, screening basic profiles, and scheduling interviews.
  • Support onboarding preparation (welcome packs, documents, forms).
  • Assist in conducting new hire orientation or briefing sessions.
  • Update candidate or new employee trackers.

4. Employee Engagement & Welfare

  • Support HR with planning and coordination of internal events (e.g., staff activities, festive celebrations, wellness programs).
  • Help prepare materials such as posters, announcements, and attendance lists.
  • Conduct simple employee engagement survey.

5. HR Operations & General Administration

Support daily HR administrative tasks such as:

  • Data entry and updating HR records
  • Preparing HR letters or memos
  • Maintaining HR inventory (uniforms, ID cards, PPE, etc.)
  • Tracking attendance or leave data where needed
  • Support HR with policy updates and documentation formatting.
  • Help ensure compliance across HR processes.

6. Other HR Projects

  • Participate in HR audits, compliance checks, and housekeeping exercises.
  • Support any ad hoc HR tasks assigned by the team.

Requirements

  • Pursuing a Diploma/Degree in HR, Business Administration, Psychology, or equivalent.
  • Strong attention to detail and good organizational skills.
  • Able to handle confidential information professionally.
  • Good communication skills and willingness to learn.
  • Comfortable with Microsoft Office tools (Excel, Word, SharePoint).
  • Fluent in English and Malay (speaking and written).
