Job title: Jr HR Specialist

Location: Malaysia

Key Responsibilities:

  • Support employees throughout the employment journey, including recruitment, onboarding, performance feedback, career development and offboarding.
  • Respond to employee questions regarding HR processes, policies and benefits.
  • Assist with recruitment activities, including job postings, candidate coordination, interview scheduling and recruitment documentation.
  • Support employees and managers with career-development and training activities.
  • Assist the HR Manager with employee-relations matters and maintain accurate case documentation.
  • Promote and coordinate HR initiatives across teams.
  • Prepare and maintain HR documents, including job descriptions, induction materials, employment contracts, appraisal forms and training-cost agreements.
  • Maintain employee records, attendance data, timesheets and HR system information.
  • Help collect and organize information relating to business and workforce needs.
  • Work with HR systems and other digital tools to maintain accurate employee data and reports.
  • Support HR projects such as employer branding, company events, employee surveys, salary-grid updates and the development of internal policies and processes.
  • Assist the HR Manager / HRBP with daily HR activities involving other countries.
  • Provide office-management support, including general administration, event coordination and assistance with marketing and internal communications.
  • Perform other HR and administrative duties assigned by the HR Manager.

Key Requirements:

  • Bachelor's degree in Human Resources, Business Administration, Psychology or a related field.
  • At least one to two years of experience as an HR Assistant, HR Administrator or in another relevant HR or administrative position. Fresh graduates with relevant internship experience may also be considered.
  • Good administrative and organizational skills.
  • Strong attention to detail and ability to maintain accurate records.
  • Effective written and verbal communication skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Ability to present information and data clearly and logically.
  • Proficiency in Microsoft Office, particularly Word, Excel, PowerPoint and Outlook.
  • Basic knowledge of employment law and standard HR practices.
  • Professional, discreet and able to handle confidential information.
  • Willingness to learn and work with employees and stakeholders from different countries.
