Job Description

The intern trainee will gain practical exposure to the end-to-end Annual Procurement Plan (APP) process, including governance, documentation, and approval workflows. Develop hands-on experience in procurement reporting, data management, and compliance monitoring, while supporting coordination with internal stakeholders. Interns will also strengthen skills in administrative support, workflow tracking, and preparation of management materials, while gaining foundational exposure to public-sector procurement practices.

1. APP Monitoring & Reporting

Assist in data consolidation for Annual Procurement Plan (APP) submissions and approvals.

Participate in maintaining accurate and updated trackers for Division/Department progress.

Support the preparation of reports, dashboards, and presentation materials for management review.

Assist in checking completeness of APP templates, including signatures, documentation accuracy, and field validations.

2. Documentation & System Support

Help organise and manage files in shared folders, ensuring Procurement Champion (PROCHAMPs) have submitted and updated their documents correctly.

Assist in reviewing document status such as signed/unsigned, pending approval, or incomplete uploads.

Provide support in tracking workflow progress, followups, and status updates from PROCHAMPs.

Update data in the APP Master File and ensure consistency of information across all datasets.

Generate updated APP data for Power BI dashboards, ensuring accuracy and timeliness.

Assist in basic data cleaning, formatting, and validation checks before dashboard refresh.

Support documentation of procurement references, guidelines, and templates for internal use.

3. Administrative & Coordination Support

Assist in communication with PROCHAMPs and internal stakeholders on reminders, clarifications, and followup actions.

Help coordinate schedules, meeting arrangements, and internal briefings.

Prepare meeting materials, including slide decks to management for quarterly reporting

Assist in taking meeting minutes, tracking action items, and updating followup notes.

Provide support in drafting simple emails, notices, or coordination messages to ensure

Qualifications/Courses/Studies Background

Currently pursuing a Degree in Business Administration / Management or Procurement / Supply Chain Management or Public Policy / Public Administration or Information Management / Records Management or Information Technology / Data Management / Computer Science or Management / Office Management or in any related field with a minimum CGPA of 3.20/4.00 from a recognised university;

Strong organisational and coordination skills, resourceful with the ability to manage multiple tasks and timelines

Good written and verbal communication skills in English and Bahasa Malaysia

Proficient in MS 365, particularly Microsoft Word, PowerPoint, and Excel

Comfortable working with documentation, trackers, and structured records

Proactive, detail-oriented, and able to work with multiple stakeholders across units

Willing to learn procurement processes
