Job Responsibilities
1. Administrative Support
- Act as Personal Assistant to the Director, managing day-to-day administrative tasks.
- Assist with document preparation, data entry, and report compilation.
- Disseminate important company news and updates to the team.
2. Calendar & Travel Management
- Manage calendars for the Director and team; coordinate meetings, appointments, and venue reservations.
- Plan and coordinate business travel in compliance with Group travel policies; inform the team of entitlements and policy updates.
3. Claims & Compliance
- Collate documentation and submit expense claims for approval, ensuring adherence to Group policies.
- Keep the team informed of relevant entitlements and restrictions related to claims.
4. Office & Records Management
- Manage office supplies and equipment to ensure smooth daily operations.
- Maintain and update filing systems, company databases, and confidential documents.
5. Communication & Coordination
- Build and maintain good rapport with internal and external stakeholders.
- Support the team in communication and coordination to ensure efficient operations.
Job Requirements
- Minimum 3 years of experience in administrative support or as a personal assistant, preferably in a corporate environment.
- Strong organisational, multitasking, and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Proactive, detail-oriented, and able to work independently as well as part of a team.
- Flexible and adaptable to changing priorities and schedules.
