Job Description

Date: 26 September 2026

Location: Dusit Princess Melaka

Time: 3:00 PM – 9.30 PM (latest) including 3 paid breaks on rotation basis 

• 10-minute paid break at 5:10 PM

• 15-minute paid break at 7:15 PM

• 15-minute paid break at 8:35 PM

Pay: RM30-32 per hour

Role Overview

We are looking for a Coordinator Master to oversee the full event flow and ensure smooth coordination between all teams, including the emcee, music, photo-video, and event helpers.

This is a hands-on leadership role, not a supervisory-only position. The successful candidate must remain calm under pressure and be actively involved in real-time decision-making throughout the event.

Candidates with similar experience are encouraged to apply, as well as those who are confident in taking on the role. We are looking for a strong communicator who can effectively coordinate between teams for a small-scale wedding.

DutiesBefore the Event
  • Lead pre-event briefing with all teams
  • Review full run sheet and key cue points
  • Confirm timing, roles, and backup plans
  • Ensure all vendors (Emcee, Music, Photo/Video, Helpers) are aligned
  • Conduct final walkthrough of venue setup and flow
  • Establish communication structure (WhatsApp group + emergency contacts)
During the Event
  • Oversee entire event timing and execution flow
  • Coordinate between Emcee, Music, Photo/Video, and Helpers
  • Ensure all teams are in position before key moments (e.g. grand entrance, vows, cake cutting, speeches, etc.)
  • Monitor timing and make real-time adjustments if needed
  • Resolve unexpected issues calmly and quickly (e.g. delays, missing guests, technical issues)
  • Maintain smooth guest flow and prevent disruptions
  • Ensure communication between all teams remains clear and efficient
  • Step in to support coordination gaps when needed
  • Stay alert at all times and anticipate next event segment
After the Event
  • Oversee smooth breakdown and packing process
  • Ensure all vendors and teams complete responsibilities
  • Perform final venue check to ensure nothing is left behind
  • Provide clean-up support as needed
  • Assist with overall event closure and handover
Break Coverage System
  • Breaks will only be taken when event flow is stable and timing allows.
  • A designated assistant/helper will be assigned to temporarily cover coordination duties during your break when the event is running smoothly, ensuring the team has sufficient rest periods throughout the event and helping to make missed breaks unlikely.
  • If event conditions do not allow for breaks to be taken, you will still be compensated for that time.
  • The Coordinator must remain fully contactable at all times during breaks for any urgent updates or emergencies.
  • Break timing may be adjusted on the day depending on live event flow to ensure smooth execution.
Requirements
  • Must be present for full event duration
  • Comfortable managing multiple teams and/or prior experience in event or wedding coordination
  • Understands the wedding as a whole and treats it as a once-in-a-lifetime event with full seriousness and attention
  • Strong leadership, communication, and decision-making skills
  • Able to stay calm under pressure and handle fast-changing situations
  • Able to think ahead and solve problems proactively
  • Come in grey long-sleeved shirt, blue jeans, and black footwear (no slippers)
  • Must be present for full event duration
