Job Overview
The Human Resource Intern will assist the HR Department in the daily administrative and operational functions, gaining hands-on experience in various HR disciplines such as recruitment, employee relations, training, and performance management. This position offers the opportunity to learn and contribute to real HR processes within a professional and dynamic work environment.
Specific Duties/Responsibilities
Personnel File Management
Assist in maintaining and updating employee records (physical and digital), ensuring accuracy,
proper filing, and confidentiality.
Scan, label, upload, and organise employee documents into SharePoint.
Track missing or incomplete documents using standard checklists.
SAP SuccessFactors (SF) Maintenance
Support SF data accuracy by following up with employees on incomplete or outdated information (e.g. emergency contacts, dependants).
Prepare data checklists (Quarter Data Clean Up) and discrepancy lists for HR Executive review.
Note: Intern will not perform final system updates or approvals.
HR Administration
Handle general administrative duties within the HR department.
Prepare HR-related documents, letters, and reports using approved templates and under
supervision.
Maintain HR trackers such as probation and contract expiry.
Assist in preparing onboarding logistic, orientation materials, and checklists for new hires.
Track return of company property and completion of administrative offboarding requirements.
Support documentation and filing related to employee offboarding.
Training and Development
Prepare supporting documentation for training and HRDF submissions.
Employee Engagement
Support planning and coordination of employee engagement activities and HR events.
Assist with logistics, attendance tracking, and feedback collection.
Audit Support
Assist in compiling HR documentation and evidence for internal and external audits.
Organise and index audit files to ensure audit readiness.
Undertake any other duties as may be assigned by the HR Executive or Manager.
Qualification, Skills & Experience
Qualification
Currently pursuing or recently completed a Diploma or Bachelor's Degree
in Human Resource Management, Business Administration, or a related
field.
Strong interest in developing a career in Human Resources.
Skills
Good interpersonal and communication skills.
Highly organized with strong attention to detail.
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Able to maintain confidentiality and handle sensitive information
responsibly.
Positive attitude, proactive, and eager to learn.
Experience
No prior experience required. Training and guidance will be provided.
Internship experience in HR or administrative functions will be an added
advantage.
