Job Description

Key Responsibilities

  • Provide high-level administrative and secretarial support to the C-Suite.
  • Manage calendars, appointments, meetings, and overall scheduling of the C-Suite.
  • Prepare and coordinate correspondence, including emails, letters, memoranda, reports, and presentations.
  • Assist in the preparation of meeting materials, including board papers, agendas, and reports.
  • Organise and coordinate meetings, including scheduling, venue arrangements, circulation of materials, and taking minutes where required.
  • Maintain proper filing systems (physical and electronic), ensuring all records and documents are accurate, up-to-date, and easily accessible.
  • Handle incoming and outgoing communications on behalf of the C-Suite, including screening, prioritising, and summarising key matters.
  • Track and follow up on action items, deadlines, and instructions from the C-Suite to relevant stakeholders.
  • Manage confidential information and sensitive documents with a high level of discretion and professionalism.
  • Support administrative functions including document tracking, approvals, and record management.

Key Requirements

  • Diploma or Bachelor's Degree in Business Administration, Secretarial Studies, or a related field.
  • Minimum 3–5 years of relevant experience in a similar role, preferably supporting senior management or C-Suite.
  • Strong administrative, coordination, and documentation skills.
  • Good communication skills, both written and verbal, with the ability to engage stakeholders at all levels.
