Job description:
Key Responsibilities
1. Full Set Accounts & Financial Reporting
- Handle full set of accounts including GL, AP, AR, fixed assets, accruals, and prepayments
- Prepare monthly management accounts, including:
Profit & Loss (P&L)
Balance Sheet
Cashflow Statement
- Ensure accounts are accurate, complete, and closed on time every month
- Perform variance analysis against budget and prior months, with clear explanations
2. Cashflow & Banking Control
- Monitor daily and weekly cashflow position
- Ensure all retail outlets daily sales and cash collections are:
Properly recorded
Reconciled
Banked in accurately and on time
- Prepare cashflow forecasts and highlight potential shortfalls early
- Manage bank reconciliations and resolve discrepancies promptly
3. Retail & E-commerce Finance Support
POS systems (retail stores)
E-commerce platforms (Shopify / marketplaces)
- Monitor payment gateways, platform fees, refunds, and chargebacks
- Work closely with operations, inventory, and retail teams to ensure:
Accurate cost allocation
Proper stock-related accounting entries
4. Audit, Tax & Compliance
- Liaise with external auditors, tax agents, company secretary, and bankers
- Prepare schedules and documents for:
Annual audit
Corporate tax (CP204, CP204A, CP207)
SST (if applicable)
- Ensure compliance with Malaysian accounting standards, tax regulations, and
- statutory requirements
- Maintain proper documentation and audit trails
5. Internal Controls & Process Improvement
- Review and strengthen financial controls, especially for retail cash handling and expenses
- Identify inefficiencies or risks in existing finance processes
- Propose and implement improvements to enhance accuracy, speed, and accountability
- Support management in shifting towards a capital & profitability mindset, not just expense tracking
6. Management Support & Ad-hoc Analysis
- Provide financial insights to support:
Budgeting and forecasting
Cost control initiatives
Business expansion or new projects
- Assist in preparing financial data for management meetings and decision-making
- Handle ad-hoc finance tasks as required
7. Budgeting, Forecasting & Financial Planning
- Prepare annual budgets and periodic forecasts (quarterly / rolling forecast)
- Work closely with management and department heads to:
Understand business targets
Translate plans into realistic financial numbers
- Track actual performance vs budget and:
Highlight variances
Explain reasons clearly (sales, margin, expenses, cashflow)
- Update forecasts based on:
Sales trend changes
Store expansion / campaign plans
Inventory and cashflow movements
- Support management with scenario planning (best / base / worst case)
- Ensure budgeting and forecasting are practical, data-driven, and aligned with cash position
Requirements
Qualifications & Experience
- Diploma / Degree in Accounting, Finance, or related field
- Minimum 46 years of relevant experience, preferably in:
Retail
FMCG
E-commerce or multi-outlet businesses
- Experience handling full set accounts independently is amust
- MUSTbe literate in Mandarin (speak,written & read)
Technical Skills
- Strong knowledge of accounting principles and Malaysian tax requirements
- Experience with accounting systems (e.g. SQL, AutoCount, Xero, or similar)
- Proficient in Excel (VLOOKUP / XLOOKUP, Pivot Tables, basic analysis)
- Experience dealing with auditors and tax agents
